I Didn’t Need a Better Memory. I Needed a Better System.

When I started my business, I truly had no clue what I was doing.

Before Scentsy, I was a massage therapist. And in that world…everything is documented.

I had my own practice. And let’s be real, i just finished massage school and feared i would fail. So I wasn’t going to pay a bunch of money for a digital system.

The bare minimum, you needed to do SOAP notes (don’t ask me what those letters stand for anymore, i don’t remember lol). But each client filled out a new intake form. You made notes of aches, pains, likes, dislikes and more in each clients folder. And you updated it every single time they came in.

So some clients i never saw again, some were monthly and i even had some that were weekly clients.

I had to be organized, i mean it was medical stuff. I didn’t want to mess it up or someone up.

Now…did every therapist actually stay organized?

Nope. 😂 But i mean im me.

I think that’s just how my brain has always worked.

We also had rental properties at the time.

Every property had its own folder.

Rent receipts.

Repairs.

Mortgage payments.

If we had five rentals…we had five folders.

I liked knowing exactly where everything was.

See where im going with this?

Fast forward to starting my Scentsy business.

I had zero experience in network marketing. But im a go all in type of chick. Like im going to give it a good try.

My business started hot. And i looked at it from the massage therapist perspective. Every client needed a folder. Holy crap, i had 2 3″ binders FULL of customers very quickly.

It worked…

Until it didn’t.

The idea was sort of solid, but the practicality was not. They were heavy lol.

I knew I wanted to give really good customer service.

The problem?

My brain.

I’d get an order…

Do a little happy dance.

The kids would need a snack.

The phone would ring.

I’d start dinner.

And then two days later I’d think…

“Wait…did I ever message her back?”, “did i send them a thank you?”

I didn’t need a better memory.

I needed a better system

Because those binders weren’t working anymore. They were great for keeping information…terrible for keeping up with hundreds of little follow-ups.

Over the years I’ve created tracker after tracker after tracker.

Some were terrible. 😂

Some were way too complicated.

Some lasted about a week before I changed them again.

I still make tweaks here and there, but for the most part i created a system that sort of took the thinking out of things.

I printed them out, put them in order of importance in my planner. Then when i sit down to work, i start from the first page and just do things that don’t have a check mark on them.

Eventually I realized I didn’t have to remember everything anymore.

I just had to remember to look at my tracker.

That tiny shift changed everything.

Instead of hoping I remembered to send a thank-you or follow up with someone, I knew exactly what i had done, because it was checked off. And what needed done, because, well it wasn’t checked off.

Is customer service everything?

Nope.

But I do think it’s a pretty big piece of the puzzle.

If people know you care…you’re already ahead of a lot of businesses.
